Your input credit depends on somebody else's filing

GSTR-2B reflects what your suppliers filed, not what you bought. Reconciling monthly is the difference between a conversation and a write-off.

An uncomfortable position

Filing your own return is mechanical. The work is reconciliation, and the uncomfortable part is that your input tax credit turns on whether your supplier filed correctly and on time. Their administrative failure becomes your cash problem.

This is why reconciliation is not an accounting nicety. It is credit protection.

The four differences, and what each one means

What you seeUsually meansWhat to do
In your books, absent from 2BSupplier has not filed, or filed against a wrong GSTINContact them now. This is the one with a deadline.
In 2B, absent from your booksInvoice never recorded, or recorded in another periodFind it, or confirm it is not yours at all

Monthly, not quarterly

Reconcile quarterly and you discover in month three that a supplier stopped filing in month one. That is a harder conversation, a colder trail, and depending on timing the credit may be at risk.

Monthly reconciliation catches it while the relationship is warm and the invoice is recent enough that everyone remembers it.

One field causes a surprising share of mismatches

The supplier GSTIN, typed wrongly once when the supplier was first created, and then reused on every subsequent purchase. Every invoice from that supplier mismatches, forever, and nobody suspects the master record because the supplier name is right.

Verify GSTINs when a supplier is first set up rather than when a mismatch appears. It takes a minute and prevents a recurring class of problem.

A caveat

GST rules, return formats and credit timelines have changed repeatedly since 2017 and will change again. Nothing here is a substitute for confirming the current position with your tax adviser before acting on it.
