Worked scenario

One diary, one person, no redundancy

A sole practice has no structural check on a missed date, so the check has to be built rather than staffed.

3 min read

In a firm, a missed date is often caught by someone else. A sole practitioner has no such accident of structure.

The diary is not a control

A diary shows what was entered. It cannot show what should have been entered and was not, which is the failure mode that actually causes claims.

Undertakings are the sharpest risk

Given in correspondence and easily forgotten, an outstanding undertaking is a personal liability. Recorded as an item requiring discharge, it stays visible until it is met.

What changes

  • Dates held in a system that produces a forward view
  • Reminders at intervals rather than on the day
  • Undertakings recorded separately and tracked to discharge
  • A weekly review of what is approaching
