Documentation shipped with the product and revised without it

Documentation that travels with a product needs a record of who received which version, or a revision reaches nobody.

Product documentation is supplied at first order and rarely resupplied. Revisions happen and are published, and existing customers are usually left to notice.

Who has what

Without a record of which version each customer received, a revision cannot be targeted. It is either sent to everybody, which trains people to ignore it, or to nobody.

What this does not decide

What documentation you must supply, and when, comes from your regulatory obligations rather than from this. The record makes distribution and acknowledgement demonstrable; it does not tell you what is required.

What changes

  • Document version recorded against each dispatch
  • Customers holding a superseded version identifiable
  • Revisions distributed to those who received the previous one
  • Acknowledgement captured where it is expected
