Convenience runs one way
Every submission method that is easy for the client — a photograph, a forwarded mail, an envelope — transfers work to the practice. None of it is unreasonable individually and collectively it is most of the job.
Log on arrival
Recording what came in and when does two things: it makes missing documents visible in week one rather than at filing, and it gives the practice a factual basis for the conversation about how material arrives.
The repricing conversation needs numbers
Telling a client their submission habits are expensive is an opinion. Showing that their account consumed four hours of sorting last quarter against a typical one is a fact, and facts are what change either the price or the habit.

- Submissions logged on arrival so gaps are visible early
- Sorting time recorded separately from accounting time
